Donor Database and Stewardship Specialist

Basic Function:
The Development Associate supports the Development and Communications teams, serving as the database manager of our Salesforce CRM while assisting with the annual fundraising and volunteer recruitment goals. This is a full-time, salaried position, based in our Manchester office. Occasional evening or weekend hours for events may be required.
Supervision:
The Development Associate reports to the Director of Development.
Major Duties & Responsibilities:
- Effectively maintain, manage and perform all tasks directly relating to the donor database while supporting the Development and Communications teams with logistics related to: revenue reconciliation, reporting, data analysis, mail/email lists, events, and volunteer recruitment.
- Process and accurately record all charitable gifts (checks, online donations, stock, wire transfers, DAFs, matching gifts, etc.) in a timely manner.
- Manage the comprehensive gift receipting and formal tax acknowledgment process, ensuring accuracy, timely delivery, and compliance with IRS regulations.
- Produce timely thank you letters in response to gifts from individuals, corporations and foundations.
- Manage the recurring gift donation process, acknowledgements, and follow-up with donors.
- Manage the matching gifts program, including tracking and follow-up with companies and donors.
- Track and process in-memory and in-honor gifts, ensuring proper donor recognition and condolence outreach; collaborate with the Director of Development on this process.
- Oversee the pledge gift reconciliation process, including reminders and invoicing as needed. Support Development and Finance team members by reconciling outstanding pledge reports.
- Coordinate and track annual solicitation of town/city/municipality funding.
- Maintain organized electronic and/or paper records of all gift-related documentation.
- Prepare and distribute daily, weekly, monthly gift reports.
- Prepare customized giving reports for team members to use for cultivation and solicitation.
- Work with Communications and Recruitment team on external event coordination including registration, processing of fees, and on-site event logistics and implementation.
Knowledge & Skills:
- Analytical mindset with the ability to interpret, manage, and report on complex data.
- Ability to work on a team as well as accomplish tasks independently and take direction.
- Capable of working with diverse constituents and both internal and external teams and partners
- Ability to work under strict deadlines.
- Detail-oriented, organized, able to handle multiple projects at once and be productive in a fast-paced environment.
Education & Experience:
- Bachelor’s degree or equivalent work experience.
- Proficient in Salesforce CRM, Pardot and Classy or similar donor database system.
- Knowledge of iWave, Microsoft Suite, Zoom and willingness to learn other emerging technologies.
- Experience in supporting a non-profit advancement/development office.
